Administrator/ Manager

Organization: Orphanage Charity
Reporting to: Board of Trustees

The Administrator / Manager is responsible for the overall management, administration, and smooth operation of the orphanage charity. The role ensures the welfare, safety, education, and development of children while maintaining compliance with applicable laws, donor requirements, and policies approved by the Board of Trustees.

Key Responsibilities:

1. Administration & Operations

  • Manage day-to-day operations of the orphanage.

  • Implement policies, procedures, and decisions approved by the Board of Trustees.

  • Maintain proper records of children, staff, finances, and assets.

  • Ensure cleanliness, discipline, safety, and proper living conditions.


2. Child Welfare & Protection

  • Ensure the physical, emotional, and psychological well-being of all children.

  • Oversee education, healthcare, nutrition, and recreational activities.

  • Ensure child protection policies are strictly followed.

  • Act as the primary point of contact for child welfare authorities.


3. Staff Management

  • Recruit, supervise, and evaluate staff and caregivers.

  • Assign duties and ensure staff discipline and performance.

  • Conduct regular meetings and training for staff.

  • Ensure background checks and ethical conduct of employees.


4. Financial & Resource Management

  • Manage the approved budget and control expenses.

  • Maintain transparency and accountability in the use of funds.

  • Oversee procurement of food, clothing, medicines, and supplies.

  • Coordinate with accountants for financial records and audits.


5. Compliance & Governance

  • Ensure compliance with registration, licensing, and legal requirements.

  • Prepare reports for government authorities, donors, and trustees.

  • Facilitate inspections and audits by relevant departments.

  • Ensure proper documentation and record-keeping.


6. Donor & Community Relations

  • Maintain positive relationships with donors and sponsors.

  • Provide regular updates, reports, and transparency to stakeholders.

  • Coordinate visits, events, and awareness activities.

  • Represent the orphanage professionally in meetings and forums.

Qualifications & Experience:

  • Bachelor’s degree (Master’s preferred) in Social Work, Public Administration, Management, or related field.

  • Minimum 5–7 years experience in administration, NGO management, or social sector.

  • Strong leadership, communication, and organizational skills.

  • Knowledge of child protection laws and NGO regulations (preferred).

  • High integrity, empathy, and commitment to child welfare.

  • Communication with authorities and donors

Authority & Accountability:

  • Authorized to manage daily operations within approved policies.

  • Financial authority as delegated by the Board of Trustees.

  • Accountable to the Board for performance, compliance, and child welfare.

Working Conditions:

  • Full-time position

  • On-site presence required

  • May require after-hours availability for emergencies
